Scheduling the US embassy interview for O-1: step by step
Step-by-step guide to scheduling a consular interview for an O-1 visa: choosing a country, preparing documents, and online booking.

Booking a US embassy interview for an O-1 visa has become noticeably more difficult than older guides suggest. Since fall 2025, you can no longer select a consulate based on shorter wait times. Scheduling is now tied to your country of citizenship or lawful residence, and trying to bypass this rule will cost you a nonrefundable consular fee.
Below, you will find where you are eligible to apply, how to check the earliest available date for free before paying, what to prepare, and common ways people lose money.
Which consulate can you book an O-1 interview at?
Previously, an approved I-129 petition gave you flexibility: applicants would fly wherever they found an opening. Now the rules are different.
Change timeline:
- August 28, 2025. The State Department announced the residency country rule for immigrant visas, effective November 1, 2025.
- September 6, 2025. The same rule was extended to nonimmigrant categories: B1/B2, F-1, H-1B, O-1, J-1, L-1.
- December 12, 2025. They clarified separately that residency must be documented.
The State Department is limiting nonimmigrant visa appointments to an applicant's country of nationality or residence... This policy applies to all nonimmigrant visa categories, including employment-based petition categories such as H-1B, L-1, and O-1.
Technically, you can apply in a third country, but the consulate can decline to accept your case, and the fee is nonrefundable in that situation.
Trying to schedule in another country can end with your application being refused, and any fees paid are not refundable
How to prove residency
A residence permit card is usually not enough: they often require at least six months of proof of living in the country such as a lease agreement, utility bills, bank statements, employment contract, or tax documents. The required documents vary by country.
For Russian citizens, the Moscow embassy has not been operating since 2022, so designated posts for nonimmigrant visas are Warsaw and Astana. For Belarusian citizens, Vilnius is commonly named. If you have residency in another country, apply in your country of residence. Find the exact list on the State Department residency rule page or from an immigration specialist.
EB-1 and EB-2 work differently
Everything discussed here applies to nonimmigrant O-1. Immigrant visas (EB-1, EB-2 NIW, EB-3, family, DV) go through the National Visa Center: in those cases, the interview is scheduled by case number rather than by the applicant. What you need to even see appointment dates
Minimum set required to reach the page with available dates:
- Completed DS-160 and its Application ID (format: AA plus eight characters).
- A valid international passport whose details are entered in the DS-160.
- Approved I-129 petition number - USCIS Receipt Notice (prefix EAC, WAC, LIN, or SRC plus 10 digits).
- About 15 minutes of your time.
DS-160 Barcode Match Rule
The DS-160 number provided during the appointment booking must match exactly the form you bring to your interview, and your full name, date of birth, and passport must match the form's contents. If they don't match, you won't be allowed in and will have to book again. A draft application "just to check dates" won't work here: fill out the DS-160 using your actual passport details.
Completing the DS-160 takes more time than you might expect: the session times out after 20 minutes of inactivity, and with a complicated travel or work history, the form can take an hour or longer to complete.
Which portal your country uses
There is no single appointment portal: almost every country is tied to one of two systems, and the rest book through the embassy website. The list below was checked against the booking systems themselves on 18.09.2026.

The fastest way to find your portal: visit the US embassy website in your country (XX.usembassy.gov) and look for the Nonimmigrant Visas section.
Don't overload the system
Check dates only once or twice a day, from a single device and without VPN. Browser extensions and VPNs can cause access errors on some portals, and frequent logins can get your account blocked for several days. If you, your attorney, and a family member all log in simultaneously, you could all get locked out together.
How to check the next available slot before booking and paying
You can see the date before paying the fee - this is an official feature of the portal, not a loophole.
Open your country's portal and click Apply
Choose your language, agree to the terms, and create an account: email, password, and your full name in Latin letters as shown in your passport.
Select the visa type
Visa Category: Nonimmigrant Visa. Then choose your consulate, then the visa class. For O-1, select category O, priority - Aliens of Extraordinary Ability.
Enter your passport, DS-160, and petition details
The portal checks them in real time. For O-1, you'll need the I-129 petition receipt number.
Go to the Payment screen but do not pay yet
On the AIS portal, a First Available Appointments block will appear on the right with a list of consulates in the country and the earliest available dates. On usvisascheduling, the first available date is shown in the appointment calendar.
Take a screenshot and close the tab
This doesn't create any obligations: your application remains in payment pending status, no MRV fee is charged, and the DS-160 isn't canceled.
This approach has been recommended in chats for a long time and helps you spot discrepancies between the official tables and real availability:
I recommend registering at each embassy (the form there is very short, takes about 5-8 minutes) and going through to the date selection step to really understand the situation.
How long does it take to get an interview
The State Department has an official Global Visa Wait Times table, but it notes that these are estimates and not a guarantee of slot availability. It provides the same data broken down by city on the Visa Appointment Wait Times page, where you enter a city and get the wait times for various visa types.
The main thing for O-1: don't look at the B1/B2 column. You need the petition-based (H/L/O/P/Q) column, which is almost always significantly shorter. As of April 2026, the numbers for posts popular with Russian-speaking applicants looked like this:

This is a snapshot for a single month: always check the live table and the portal itself. Community experience shows the situation can change rapidly. O-1 slots in Astana have appeared for 1-3 months out and disappeared just as quickly. In some consulates, the nearest dates were just weeks away. On the far end of the range, some European posts had reported up to a year and a half wait for non-residents, which is one of the reasons for the residency rule.

Appointment speed and issuance speed are different
A short wait time for an appointment does not mean you'll get your visa quickly. Administrative processing may start after the interview, and its duration depends little on the consulate. Actual timelines are collected in how long administrative processing takes.
What to Prepare Before Booking
The MRV consular fee for the O category is $205 and must be paid before booking.
In addition to the payment, you will need to gather the following:

Check Your Passport's Validity Early
If your passport is valid for less than six months beyond your planned stay, get a new one in advance. Both the booking and entry may fail due to this single issue.
It is important to make your resume and the DS-160 consistent. Discrepancies between company names in the DS-160 and project names in your CV can be seen as data inconsistencies and lead to unnecessary questions.
How to Book an Appointment: From Payment to Printing Confirmation
Everything above is preparation. Booking itself takes 10-15 minutes and is done in the same account where you checked the dates.
Pay the MRV Consular Fee
The fee must be paid before booking; the appointment calendar will not open until payment is reflected in your application. The payment method depends on the portal. On AIS, payment starts directly from your account. In usvisascheduling countries, you usually get a receipt via a local bank or online payment following the instructions on your country's page on ustraveldocs.com. Save the receipt number; it is required here and at the interview.
Return to Your Application and Open the Schedule
In the account, this is the Schedule Appointment section. You selected the consulate when you created the application, and you should not change it after payment. The MRV receipt is tied to the country and visa category and will not transfer with you to another country.
Select the Date and Time
The calendar only shows currently available slots, and the list changes during the day. If the earliest available date is not ideal, take what is available. It is easier to reschedule an existing appointment than to get a new one.
Confirm the Appointment
The slot is not reserved until you confirm; while you are considering, another applicant may take it. After you confirm, the appointment will appear in your account with the date, time, and consulate address.
Print the Appointment Confirmation
The print option is available immediately after confirmation. Print the page-this confirmation is required at consulate entry, along with your passport, DS-160 confirmation, and MRV payment receipt.
Where to click exactly
Each country has its own address. On AIS it follows the pattern ais.usvisa-info.com/<language>-<country code>/niv - for example, Kazakhstan in English. For usvisascheduling countries, open ustraveldocs.com, pick your country and language and press Visa Login: the button takes you to your account on usvisascheduling.com. The booking logic is the same in both systems, only the button labels differ.
Pitfalls Rarely Mentioned
- The MRV fee is non-refundable and non-transferable. You cannot transfer it between countries, visa categories, or family members. The receipt is valid for 365 days in the same country and for the same visa category.
- Changing the consulate after a refusal does not help. Officers see the full submission history in the shared database, and "looking for a more lenient post" becomes a red flag on its own. The officer is looking for new circumstances, and changing the city is not among them.
- Rescheduling is free only a limited number of times. Community members mention up to three reschedules; you cannot cancel an interview or "freeze" it indefinitely.
- Book a real slot, not the perfect one. If you need an earlier work-related date, request it with a separate email to the embassy along with an employer letter, rather than endlessly refreshing the calendar.
- Spread out family risk. Community experience suggests the principal applicant should have the interview first, then schedule the rest of the family.
- Advice on "where it's best to apply" becomes outdated faster than it spreads. Even before the residency rule, participants noted that lists of "favorable" consulates do not last long.

What specifically counts as a "contribution" to the endeavor isn't in the requirements. But right now, because there are a huge number of applications and the quota is limited, if a petitioner doesn't have this kind of clear contribution but is just a great specialist, then the chance the approval goes to someone who has all this is much higher. «Quantity will also play a nasty trick on you when describing things: 1. more to translate 2. for each outlet you have to prove that the outlet is major or super professional. That's quite a lot of work. Don't forget about the most important EB1 criterion - sustained recognition. Your achievements have to be stretched out over time, and preferably with increasing momentum. For example, a critical role and salary 5 years ago, media once every year or two. A year ago you released a book with a method, a year ago and this year you judged competitions. This year you got a national-level award and 3 of the coolest media wrote about it. If you put it all in a single year, you won't manage to pass this criterion.»
